Room-by-room table: which medical office cleaning tasks the janitorial crew does and which stay with practice staff in Portland. Get a free quote.

RKA Cleaning provides janitorial services in Portland. We clean offices and medical facilities on a written scope. This page is for the practice manager with clinics in the Portland metro. It shows which tasks the crew does, which stay with staff, and which go to a vendor.

A medical office cleaning scope tells the janitorial crew what to clean and tells staff what stays with them.

Use this table as your medical office cleaning checklist. It shows who cleans what in each room. Copy it, change any row, and put it in the service agreement. Use the Copy table button.

The Oregon OSHA page says the Bloodborne Pathogens Standard, 1910.1030 covers Oregon employers whose employees have exposure to blood or other potentially infectious materials. RKA gives each crew member bloodborne pathogen training at onboarding.

ORS 459.386 to 459.405 set the Oregon rules for infectious waste. ORS 459.386 defines infectious waste as biological waste, cultures and stocks, pathological waste and sharps. ORS 459.405 requires a paid hauler to keep records of the origin and final disposal of the waste. The janitorial crew does not carry red bags or sharps out of the building.

What the crew does on a visit, in order

Medical office janitorial services run in a fixed order.

  1. The crew checks in, logs the time, and checks out the keys and alarm code.
  2. The crew cleans the waiting room and reception. High-touch surfaces first, then chairs, then the floor.
  3. The crew cleans the exam rooms 1 at a time. Restrooms, break rooms, glass and general surfaces each get their own cloth color.
  4. The crew cleans the restrooms last among the wet areas, then the break room.
  5. The crew takes out the regular trash and puts in new liners.
  6. The crew vacuums with a ProTeam HEPA vacuum, which captures particles down to 0.3 microns, then damp mops the hard floors.
  7. The crew fills in the digital checklist, takes timestamped photos, and sends both to the account manager.
  8. The crew turns off the lights, sets the alarm, locks up, and returns the keys.

For general cleaning, the crew uses EPA Safer Choice certified products. Safer Choice does not list disinfectants. For disinfection, the crew uses an EPA-registered disinfectant. Check the product in your scope against the EPA registered disinfectant lists. The crew leaves the product wet for the label contact time.

The crew does not open drawers, move patient records, handle sharps containers, or clean a surface with visible blood.

How often each area gets cleaned

Most RKA clients use nightly or early-morning service. Evenings, early mornings, weekends and holidays are available.

AreaFrequency
Waiting room, reception, exam room surfaces and floors, restrooms, trashNightly
High dusting and baseboards in the waiting roomMonthly
High dusting and baseboards in private officesQuarterly
Strip and wax on hard floorsOnce a year, in September, before the rains
Carpet extractionEvery 6 to 12 months

2 Portland facts set these cycles. Oregon gets 40+ inches of rain a year, so the crew rotates entry mats and adds wet-floor passes from October through May. Pollen seasons and mold spores from wet HVAC systems raise the dust load, so the waiting room gets monthly high dusting instead of quarterly.

Dental office cleaning uses the same split and the same nightly scope. The operatory surfaces between patients stay with staff.

How we set the price for a medical office

RKA gives no price over the phone. RKA walks the office first, about 20 minutes, then sends a written quote. RKA sets the price from 3 things: the square footage, the type of business, and the cleaning frequency. The quote includes labor, supplies, equipment and insurance. The price does not rise after an introductory period.

5 items change the number:

  • The number of exam rooms and restrooms.
  • Visits per week.
  • The disinfectant steps in the scope. Contact time adds minutes to each room.
  • Consumables in or out. Read who supplies consumables.
  • Floor care cycles: strip and wax, and carpet extraction.

The Portland cleaning rates guide lists $55-$80/hr for medical and dental work. Read what a base commercial scope includes for any commercial cleaning quote.

What you get after each visit

Every RKA janitorial services account runs under the CleanAssure Standard: the same crew each visit, documented SOPs, digital quality reporting, and a 100% satisfaction guarantee.

After each visit, your account manager receives:

  • A digital checklist for that visit, with each room marked done.
  • Timestamped photos of the waiting room, exam rooms and restrooms.
  • A note of each maintenance issue, such as a leak under a sink.
  • The check-in and check-out log for the crew.

If an item fails your inspection, tell RKA. The crew cleans it again within 24 hours at no charge. Read the 24-hour re-clean guarantee. RKA has zero missed cleanings across all active accounts.

On keys, the crew checks keys out before each shift and returns them after. No keys go home. RKA reports a lost key the same day. Alarm codes and access cards follow the same process. On staff, every RKA employee passes a background check. On insurance, RKA carries $2 million in general liability insurance and a bond, and sends a Certificate of Insurance on request.

The OSHA post covers bloodborne pathogen training and SDS sheets. RKA uses a service agreement for recurring work, with no long-term commitment. Write the agreement term and notice period in the last row of the table. RKA staff do not read, photograph or discuss patient information.
